GDPR Changes Coming To Showroom

We will soon be making changes to the Showroom apply journey in order to ensure compliance with the GDPR legislation which comes into effect in May 2018. We have put together designs to illustrate the way in which we are changing Showroom and the purpose of this is to inform you of these changes and request a copy of your Privacy Policy.

The designs which illustrate the new journey can be viewed here

The new journey will be as follows:

When the user is on the quick quote screen they have the ability to save a quote.

• When they click 'Save' the modal will appear as it does now
• The modal will draw the users attention to the Privacy Policy.
• There will be a link to the full policy which will open in a new tab. We need you to provide a URL were your privacy policy can be found. We will add this link into this modal. You can also provide a copy of your policy if you do not have a link to it.
• The user will enter the customers name and click OK.

When the user clicks on 'Continue' on the Quick Quote screen they move to the application form as they do now.

• A new section will be present at the top of the form which will provide an overview of why the data is being collected. We need you to provide wording to be used here.
• This will contain an overview of your privacy policy and a link to the full policy which will open in a new tab. We need you to provide a URL were your privacy policy can be found. We will add this link into this modal. You can also provide a copy of your policy if you do not have a link to it.
• This will also contain a section giving the customer the option to opt-in for marketing. The customer will tick the box if they wish to opt in - this will be optional. This point only needs to be added if it is relevant for clients and they currently collect this.
• The user will click continue to acknowledge that the customer has read the privacy policy. The time stamp will be saved when 'Continue' is clicked.
• This will then unlock the form.

Once the form has been completed the user will click 'Continue to Review & Submit'

This will take the user to the Proposal Dashboard.

• They will click the 'Submit' button to submit the proposal to your endpoint.
• There will be no privacy policy or legal text here as it has already been shown at the start of the form.

The rest of showroom will remain unchanged.

We would appreciate if you please provide the following by 16th April 2018:

• A link to your existing privacy policy. We will link to this page from within Showroom. If you don't have a copy of this please provide a copy of the policy and we will host it.
• The wording to go at the top of the application form.

If you have any questions regarding the above or GDPR, in general, please liaise with your product owner and/or email gdpr@codeweavers.net
